Some tips about the WEBMAIL services at IIT Bombay.

General: Web-based email access system in IITB was started on October 12, 2002. The experience of last couple of years has shown us that Internet Explorer version 5 does not support SQUIRRELMAIL very well. The solutions are:

  a) Upgrade to IE version 6. The Internet Explorer 6 Service Pack 1 is available here.

  b) Use OPERA or MOZILLA or FIREFOX.

  c) Use other web-based alternatives such as Ilohamail, Hastymail, or IMP.

  d) Use IMAP based interfaces like NETSCAPE, PINE, KMail, Evolution, EUDORA, and Outlook Express etc. However, Computer Centre lacks resources to answer queries about matters related to configuration of these software packages.

IMPORTANT: Cookies must be enabled in your browser when accessing the web-based Email service.

Summary:

Note: This is a evolving list. New items will be added here as and when the need arises.

14. Symptom: I am unable to download my MAILFOLDER using ARCHIVE operation. The computer seems to go into deep sleep after I click on the link.

15. Symptom: My mailbox access is very SLOOOOOOOOW under SQUIRRELMAIL.

1. Symptom: My SENT mails have disappeared under SQUIRRELMAIL.

   Clarification: The mails are still there. This happened probably because you chose SQWEBMAIL and now you have switched to SQUIRRELMAIL. Due to some differences between the folder naming conventions between the two packages, they are not easily visible under SQUIRRELMAIL.

   Remedy: Each of the mail interfaces have their own folder structure and access mechanisms. Particularly SQWEBMAIL and SQUIRRELMAIL seem to be incompatible. You can use ILOHAMAIL and SQUIRRELMAIL interchangably. No incompatibility problems have been found so far between these two. All your folders (even the folders created by SQWEBMAIL) are easily accessible under ILOHAMAIL.

2. Symptom: My ADDRESSBOOK created under one package is not visible under the other.

  Clarification: The ADDRESSBOOK formats are not portable across different environments supported under IITB WEBMAIL service.

  Remedy: Please try to stick to one particular environment as far as possible. The other choice is to replicate addressbooks under each environment.

3. Symptom: My outgoing mails work fine but I dont seem to receive any mails.

  Clarification: This happens when you have set up an AUTOFORWARDing address. Sometime in 1998-99 all faculty (and some staff) were given addresses of the form "userid@iitb.ac.in" and incoming mails at these addresses were autoforwarded to their departmental mailboxes. In the WEBMAIL environment, the pre-existing autoforward mechanism have been maintained.

  Remedy: Please log into SQUIRRELMAIL once and choose OPTIONS link (look at the top line). Once on the OPTIONS page, the very first option is Autoforward. Click on that and see if there is any autoforward address setup there. It can be cancelled by simply blanking out that address and hitting the APPLY button.

4. HOWTO: All I have is the name of a person in IITB. How can I get his/her email address ?

  Solution: All students and employees of IITB are being registered into a campus-wide searchable directory. The SQUIRRELMAIL is the only environment where this is supported. Please choose the DIRECTORY link (look at the top line).

5. HOWTO: My name is entered wrong in LDAP/email system. How do I correct it ? What personal information can go into the IITB directory services and How do I enter/update them ?

  Solution: It is possible that some details entered into LDAP are mistyped. To modify/correct names and other details in the IITB LDAP directory visit this link. IITB directory services can hold other information such as Phone, FAX, Office and Home Address, etc. These can be also be entered/updated by the user themselves thru the same link.

6. HOWTO: How to use GROUP ALIASES under SQUIRRELMAIL ?

  Solution: People familiar with pine scheme of ALIAS EXPANSION will view this as a lack of feature in SQUIRRELMAIL. However, SQUIRRELMAIL still supports GROUP ALIASES in a slightly different manner. To create group aliases, one can use a comma separated list of email addresses in the addressbook. In order to use GROUP aliases when composing a mail, do the following:

    a) Use the COMPOSE link as usual.

    b) Once in COMPOSE page, do not use the nickname for the GROUP ALIAS. Instead, click on the "Addresses" button. This will take you to an address selection menu that shows the entire addressbook.

    c) On the left of the screen, there will be checkboxes designated "To", "Cc", and "Bcc". Pick the one that fits your requirements.

    d) Move to the bottom of the page and hit the button "Use Address". You will be taken back to the COMPOSE page with the addressing issue taken care of.

7. HOWTO: How to convert the ADDRESSBOOK I have been using with other mailing software such as EUDORA or PINE ?

  It is now possible to convert addressbooks. This is particularly useful for erstwhile PINE users. The details are in OPTIONS page. Look for LDIF Addressbook Import.

8. HOWTO: How to download mails to my local disk ?

There are two possibilities here:

  a) Each single mail can be downloaded as a file. This can be done by using the link "download as a file" when viewing a particular mail.

  b) Downloading complete mailfolders. Look for the Archive button at the bottom right hand corner of the folder display. By clicking on this, entire folder content can be downloaded as a single zip file. There seems to be a limit of 8 MB per folder here. Efforts are being made to increase this further. Further announcements will be made here.

9. HOWTO: How to automatically forward my incoming mails to some other address ?

  This can be done by using the Autoforward link on the OPTIONS page. Follow the instructions therein.

10. HOWTO: Is it possible to read/post NEWSGROUPS and send/receive mails from within SQUIRRELMAIL (something that was available with PINE !!) ?

  No, NEWSGROUP reading and posting is *NOT* supported in SQUIRRELMAIL any more.

11. HOWTO: Is it possible to read my mailboxes resident on other HOSTS from within SQUIRRELMAIL ?

  Yes, it is possible provided the remote host supports POP3 or IMAP. Once you have logged into SQUIRRELMAIL, choose the OPTIONS link. On the OPTIONS page, look for the link Simple POP3 Fetch Mail. Using that link it is possible to define a) the POP3/IMAP hostname, b) the userid and password on that host, c) the folder where the incoming mails from the remote mail server will be deposited, and d) the frequency at which the remote mail server would be polled.

12. HOWTO: How do I check my diskspace usage if I dont use SQUIRRELMAIL/SQWEBMAIL ?

   Currently the only way to check disk usage is thru the SQUIRRELMAIL/SQWEBMAIL interface. IMAP access via web browsers (such as NETSCAPE, MOZILLA, OPERA, etc) or EMAIL clients (such as Kmail, Evolution, EUDORA, etc) donot have support for displaying DISKQUOTA.

13. INFO: Folder naming conventions under SQUIRRELMAIL

  Folder names can contain anything other than decimal points. Folders can be created as subfolders of INBOX or directly under the root of the IMAP mailbox.

14. Symptom: I am unable to download my MAILFOLDER using ARCHIVE operation. The computer seems to go into deep sleep.

  Clarification: This happens when you have large number of mails in the folder you are trying to archive. The size of the folder (in bytes) is not the problem but the number of mails in the folder (more than 500) causes the operation to slowdown considerably. Please be patient. The operation is slow but it does work. It has been benchmarked for a folder containing some 1650 mails and typical elapsed time is about 3 minutes. The other way is to split the folder into several smaller folders and then ARCHIVE those smaller folders.

15. Symptom: My mailbox access is very SLOOOOOOOOW under SQUIRRELMAIL.

  Clarification: This happens when you have large number of mails in your default INBOX. For effieciency reasons, please ensure that you donot have more than 100 emails in the default INBOX. Generally it might be a good idea to create a separate folder (e.g. named READ_MESSAGES) and move all your messages to that folder after you read them. That way the mail access performance will definitely be improved.
